Interim Operation Manager

As of June 2010, the SSSC is recruiting an Operations Manager. The Board of Directors is actively negotiating with the property lease-holder and developing fee-for-service programs to ensure the long-term success of the organization.  Because of the uncertainty of these developments, and whether the SSSC will continue to operate the SJ Hatchery, hiring a permanent OM at this point would be difficult. The Board expects the OM to work through the fall with the goal that a permanent position will be established in the fall or within six months.

Background

The Sitka Sound Science Center (SSSC) is a 501(c)(3) nonprofit educational organization formed in the fall of 2007 with the mission to increase the understanding and awareness of terrestrial and aquatic ecosystems of the Gulf of Alaska through education and research.

Currently, the SSSC has a contract and lease with Sheldon Jackson Board of Trustees to operate the Sheldon Jackson Hatchery located in the historic Sage Building on the Sitka waterfront.   The hatchery component of the SSSC's mission is to provide a training facility for aquaculture education and research.   The hatchery facility offers both an opportunity and challenge for the SSSC.   The continued operation of the hatchery is unclear at this time for a variety of reasons. Several successful research and education programs have been developed to operate independently of the hatchery facility.

Summary

The Operations Manager's primary responsibilities are to lead staff and volunteers, to implement research and education programs, and to provide facility oversight and management. The Operations Manager is also responsible for all administrative duties including budget development and tracking and ensuring compliance with all regulatory and legal requirements. The Operations Manager is expected to interact daily with the public, funders, and institutional partners.

Qualifications

The candidate should have a broad base of experience in leadership, program management, supervisory experience, budgeting, non-profit or business administration, and collaborative partnerships.   An advanced degree is preferred and a science-related or education background is helpful but not mandatory.   Strong administrative skills and people skills are a must.

Duties

Act as the chief operating and financial officer of the SSSC.
Lead staff and volunteers to achieve the mission of the SSSC.
Manage capital improvement and facilities maintenance projects.

Act as primary liaison between staff and ED, including a monthly report to ED.

Manage agency finances with assistance of contract bookkeeper including budget preparation, payroll, cash receipts, purchasing and expenses.

Manage and maintain personal and real property of the SSSC.
Work closely with ED to identify and secure funding needs for facilities and operations.

Assure required licenses, permits, reports are current.
Be a presence on-site at the Sage Building , greeting visitors, scientists, and students.

Major Functions/Accountabilities:

Financial, Tax, Risk and Facilities Management – Recommends yearly budget for Board approval and prudently manages organization's resources within those budget guidelines, provides billing to bookkeeper in a timely manner, manages budgets to ensure they are spent correctly and timely, manages leases, rental space, and SSSSC tenants, and submits grant payment requests and reports as required.

Human Resource Management – Effectively manages the human resources of the organization according to authorized personnel policies and procedures that fully conform to current laws and regulations.

Community and Public Relations – Assures that the organization and its mission, programs, and services are consistently presented in strong, positive fashion to relevant stakeholders.

Other Requirements

Possess a valid Alaska Driver's license.

Be permitted to work in USA.  Pass a criminal background check as required for working with students.

Strong communication skills, including verbal, electronic and written correspondence.
